Licensing and Insurance

1st Lady Chauffeur Services is approved by the Public Carriage Office - Licence Number: 00894101

• 1st Lady maintains a strict non-smoking policy in all our vehicles.
• 1st Lady will make every effort that our chauffeurs arrive on time, however we cannot take responsibility for unforeseen circumstances out of our control i.e. Traffic delays, accidents, breakdowns, severe weather conditions, strikes or road works.
• 1st Lady chauffeurs will travel using the most appropriate routes unless instructed otherwise at the time of booking.
• 1st Lady chauffeurs will drive at safe and sensible speeds in accordance with road conditions, traffic and the legal speed limits.
• 1st Lady will endeavour to provide the vehicle and or chauffeur you request. However, in the unlikely event that we are unable to do so, we reserve the right to provide a substitute vehicle of similar type and capacity. You will be informed of this.
• 1st Lady will require the names of all clients they are driving.
• 1st Lady vehicle(s) are fully insured for passenger and third party claims. However, customer's properties are carried entirely at their own risk and 1st Lady accepts no responsibilities for any loss or damage to any property or luggage carried in the vehicle however such loss occurs.
• 1st Lady resumes the right to use sub contractors. We occasionally have to subcontract work out to other companies, however we only use subcontractors that have the same high standard as ourselves thus ensuring to our customer the same excellent service we endeavour to provide.

Bookings

• 1st Lady require a minimum of 12 hours notice to book a transfer. Last minute bookings can be made but 1st Lady cannot guarantee to provide a car in this circumstance.
• Any quotation provided by 1st Lady is not a confirmed booking until the applicant has confirmed the booking with 1st Lady via email to: bookings@firstladychauffeurservice.co.uk and we have acknowledged the confirmation.
• All confirmed bookings start from the exact pick up point to the exact destination only.
• All job invoices and receipts will be provided on payment via email or post.
• By supplying your email address and contact details you permit 1st Lady to contact you via email, in return we promise never to supply your email to any third party.

Business & Personal Accounts

• Prior to making any Bookings for any Account Services, the Customer must first open an Account with 1st Lady (Please fill in the PDF contract form).
• Business or Personal accounts can be set up with credit and debit cards or alternatively direct debit as a method of payment.
• Invoices are issued in UK sterling.
• All applicants opening an account with 1st Lady must provide two references required to check creditworthiness.
• Personal account customers must also provide two recent utility bills.
• All account charges incurred shall be invoiced after each booking or on the last working day of each month.
• As a condition of opening an account with 1st Lady the applicant must agree to pay all invoices within 7 days from the date of invoice.
• Late payments will incur interest charges on a daily basis.
• At the time an account is authorized, 1st Lady may set a Credit Limit.
• In the event that the applicant has exceeded the Credit Limit agreed, 1st Lady may at its absolute discretion withhold the Service from the applicant.
• It will be the duty of the applicant to ensure that the use of the Service is operated within the Credit Limit.

Termination of Account

• Either parties may be able to terminate this Agreement by providing one month's written notice.
• Without prejudice, Clienteles who are in breach of any of the Terms & Conditions of this Agreement, 1st Lady shall have the right to terminate this Agreement or suspend certain provisions of Services, or suspend the Clienteles Account facility, immediately with or without formal notification.
• When an Account is terminated, by any means whatsoever, the Customer shall pay to the Company all outstanding Charges which are owed to 1st Lady as at the date of termination.

Payments

• If there are any changes or variations including extra mileage to the journey other than what was agreed at the time of booking, the clientele shall be charged extra in accordance with our rate card (e.g. extra mileage, hourly rate & waiting time).
• Upon mutual agreement of charges for services to be provided please note the following: If no agreement is made for monthly invoicing 1st Lady will require payment by credit or debit card and a 70% payment is required in advance. However, a full address for the booking must be connected with the applicant making the booking. A credit/debit card preauthorization may still be required when making contact with your chauffeur.
• Wedding car hire payments will be taken 14 days prior to the booking.

As Directed

• Prices quoted for A.D (as directed) rate include multiple stops and waiting time, (Allowing 10 miles per hour only). The usage of the car is restricted to central London area only with certain mileage allocation. Any mileage thereafter is charged at an additional per mile rate (please see our rate card). Airport transfers are not normally included in the A.D (as directed) hire and are charged in addition to the standard rate.

No Shows

• If the customer does not appear at the time and place designated at the pickup point, the charge will be raised at the full rate quoted for the original booking or any monies paid will be nonrefundable.

Airport Transfers

• Flight details will need to be provided to us in advance. The details will help us give you a punctual service. We make every reasonable attempt to monitor your flight times, however we are unable to access reliable information until shortly before departure or scheduled arrival times.
• If your flight is delayed, you should make immediate contact with 1st Lady to notify us, so that we can adjust our schedules and rearrange drivers. We allow a waiting time of 30 minutes for domestic flights and 45 minutes for international landings free of charge.
• Our meet and greet system will ensure that your chauffeur will be waiting for you as soon as you enter the arrivals terminal or a meeting point agreed at the time of booking. Your chauffeur will be holding up a name board with your name on it along with 1st Lady logo.

• We will endeavour to accommodate delayed flight times, but cannot be held liable should circumstances prevent us from being able to respond to any changes.
• 1st Lady chauffeurs may allow extra luggage to that agreed at the time of booking i.e. suitcases and such to be placed inside the vehicle but this should not be taken for granted. The driver must feel you can all travel safely to your destination.
• The maximum seating capacity of the vehicle is determined by 1st Lady, and should not be exceeded. It is the clientele responsibility to ensure that any young children are secured within a booster seat or protective child seat as appropriate. (please note there is an additional charge of £4.00 for the supply of a child seat).

Lost Properties

• 1st Lady will keep a "lost property book" at the office, and will endeavour to return any lost items in our vehicle(s) or sub contracted vehicle(s) to all Clienteles (there may be additional charges for this service).

Disorderly Behaviour

• 1st Lady reserves the right to refuse to carry any passengers who are thought to be under the influence of alcohol or drugs and whose behaviour poses a threat either to the chauffeur, the vehicle or any other passenger(s).
• Clients are fully responsible for all damages they cause to the interior and or exterior of the vehicle on hire to them and will appropriately be billed for any repair or valeting (spillages/sickness) required in order to reinstate a vehicle back to the condition it was originally hired in.

Complaints

• In the unlikely event that you are not satisfied with our services, all complaints must be notified in writing to 1st Lady within 14 days, 1st Lady treats all complaints with the utmost seriousness and our aim would be to resolve the issues in a fair and amicable manner.

Disputes

• In the event of any dispute concerning the calculation by 1st Lady of its charges, such dispute shall be notified to 1st Lady by the client within 14 days of the invoice being presented. In the event of no such notification being received by 1st Lady, the client shall accept the amount as being properly calculated and due.
• In the event of there being any disputes regarding the interpretation of these Terms & Conditions relative to the agreement, 1st Lady's decision shall be final and binding upon the Customer.

Alter Terms & Conditions

• 1st Lady reserves the right to alter or vary Terms & Conditions at its absolute discretion upon giving reasonable notice to the Clientele and without prejudice to the generality or the aforesaid 1st Lady reserves the right to change tariff charges.
• No representations or variations in or additions to these Terms & Conditions or warranty given by any person acting or purporting to act on behalf of 1st Lady shall have any force or effect whatsoever unless confirmed in writing by an authorised representative of 1st Lady.
• Nothing contained in these Terms & Conditions can affect the Client's' statutory rights.

Here at 1st Lady, we have always taken your privacy very seriously. The Information we collect

We collect personal data by telephone when you make an enquiry about a proposed travel requirement, call us or visit us to make a chauffeur- driven travel booking. Your data e.g. your e-mail address, name, home or work address and telephone numbers have been provided to us by you with your consent. Normally you will only provide such details if you are making an enquiry, or booking chauffeured transport with us or if you wish to sign up for our occasional emails. We also use some analytical tools that can monitor details of your visits to our websites and the resources that you access, but this data will not identify you personally. We do not take payments via our websites. Your payment information (e.g. credit card details) provided when you make a purchase from us is never stored by us. That information is processed securely and privately and all credit card details are destroyed immediately. We may share your personal data with our payment processors, but only for the purpose of completing the relevant payment transaction. Such payment processors are banned from using your personal data, except to provide these necessary payment services to us, and they are required to maintain the confidentiality of your personal data and payment information.

The use of your information

Here at 1st Lady we may hold and process personal data that you provide to us in accordance with the GDPR. The information that we collect and store about you is only used to enable us to provide our services to you, we may use the information for the following purposes: We may contact you about changes to our websites or business that may affect our service; If you are an existing customer, we may contact you with information about your chauffeur booking, picking up arrangements etc.  Or if you have consented to receive the occasional emails that we may send from time to time. Disclosure of your information We will never share your data with third parties without your further consent.

Controlling the use of your data

If you have given us consent to use your data for a particular purpose you can revoke that consent at any time. Simply write to us at the address at the start of this policy or email bookings@firstladychauffeurservice.co.uk at any time.

Where we store your data

We always take every precaution to protect your data that you have given us whilst booking with us and it is always kept password protected. We never use or disclose your personal data. You can request that we remove your personal data from our database by contacting us at bookings@firstladychauffeurservice.co.uk

The information you send via our contact and enquiry forms or email via the internet is never completely secure. Although we will always do our best to protect your personal data, we cannot guarantee the security of data while you are transmitting it to our site; any such transmission is at your own risk.
